THE AV INDUSTRY NEEDS BETTER PROTOCOLS FOR EVERYTHING. We've heard about how important it is for AV companies to establish their work structures so they can manage the heavy workflows of live events and installs. But there's a part of this equation that simply doesn't get mentioned enough: protocols. Without proper protocols, there is no way a specialized AV team can deliver an event safely or on time. And that's what seems worrying about today's industry. There's a lack of conversation about how these protocols can actually make or break an event. Here are some that we've implemented through time: – Site Visits & Load-In Logistics: A formal assessment of the venue to evaluate infrastructure, power capacity and loading area capabilities. This needs to be performed with enough time so that any issues encountered at the venue can be accounted for as quickly as possible. – Safety & Gear Structure: As a company, we have accounted for our equipment capacities and needs, including inspections before transporting and lifting heavy gear. This protocol was standarized and became mandatory before every install. – Technical Backup: Implementation of a backup system for all signals and power supplies, including playback machines as to avoid failures during live broadcasts or streams. – Crew Communication & Emergency Protocol: Establishing guidelines for communications between different sets of teams has been crucial. Knowing what’s the chain of command can help avoid safety issues. At the same time, emergency response procedures for accidents, weather delays or power outages have been key to maintain our operations. There is magic in the silence of an empty ballroom minutes before an event starts. You can feel a shift in the atmosphere as expectation increases. These are the moments where an AV team locks in. We've already double checked the install, on-site team is communicating and ready to go. The spectacle is about to start and we're about to experience the audience's reaction to everything: the stage, the lights and, of course, the energy in the environment. While most of our work revolves around screens, cables, and a ton of roadcases, watching it all unfold truly is why we do what we do.
