    frAIday, solving daily issues. This week: empty inbox I have loved the empty inbox concept for many years. It makes clear what needs to be done and removes the clutter. If a reply or task takes longer than 5 minutes, the email stays in my inbox until I have time to finish it. Everything else is directly deleted or archived. But when things get stressful, the number of task emails increases and I start losing the overview across all the different topics. So I thought: Why not use a local AI to quickly turn an email into a task? Now I can turn relevant emails into proper tasks in Todoist within seconds and enjoy the silence of an empty inbox again. The important part for me: The mail content never leaves my machine. No cloud model reads my customers' emails. The model runs locally via Ollama. A few seconds, one less email in the inbox, and one well-defined task where it belongs. What is the email in your inbox right now that should have become a task days ago?

    You’re doing it all for your team or business. How about a little help making time for the big stuff… or just for that *one task* you keep rescheduling (and rescheduling)? Todoist is now available as a built-in connector in Muse, Meta's personal AI agent. Instead of taking on the task of, well, adding every. single. task. after a call, ask Muse: "add the follow-ups from today's supplier call to Todoist."     I use Fathom.ai properly every single day. You? Well, you are probably using it wrong. Here's why: Record the call. Skim the summary. Close the tab. Sound familiar? Yup. Here is how I leverage that single recording in my business pairing this with my Grok, Anthropic & OpenAI tools: Tasks, every hour. ⤷ A new call becomes a Todoist task. Each next step becomes a subtask with a link to that moment in the recording. Takeaways stay in the summary. Only the work moves, and someone else's next step stays off my list. The follow-up, same day. ⤷ Each person on the call gets an email draft with their items, the recording, and the transcript. I read it, then I send it. If an item has no owner, it waits until I put a name on it. The next call, before I join. ⤷ The last few recordings with that person come in with the email thread and the open tasks. One page: what they owe me, what I owe them, and what I am walking in to get. It shows up in Slack. Promises that went quiet. ⤷ Once a week I sweep the last two weeks of calls. Their open items are things I am waiting on. Mine get checked against Todoist. Anything still hanging comes back with a chase note I can send. Posts I already said out loud. ⤷ If I spend a minute on a call explaining how something works, that stretch of transcript becomes a LinkedIn draft, timestamp included. Client calls, cohort calls, sales calls. I check the line against the recording before it posts. The cohort recap. ⤷ The replay, the email to the group, and the community post all come off that one recording. The monthly report. ⤷ When a client asks what we did, the calls are the spine. Dates, decisions, and the work that shipped around them. A new client. ⤷ The project board starts from the discovery call. The scope is what got said while the recording is still fresh. You already spent the hour. You pay for it again when you rebuild the call from memory three weeks later because nobody wrote down who owned the next step.     More ways to color-code your tasks are here! 🎨 You asked, we heard you: In the calendar view, you can now use color-coding to your heart's content in three ways: By Labels 🆕 By Project 🆕 By Priority level (not new, but deserves a shout) Combine this with time blocking and *chef's kiss,* you've got a calendar that tells you what's coming up at a glance before you ever click on a task.     PSA to busy parents (aka all parents 🚨). Todoist has just added a whole bunch of new ways to capture tasks. I wanted to throw it a real hardball so I uploaded this photo and provided the following prompt: "Add a task for every Wednesday to prepare for show and tell. And then add a P1 task for every Thursday at 8am for show and tell. Add the letter of the week in the task description." And, people. IT WORKED. 66 tasks added in like 30 seconds. The thought of having to do all of that manually (or, worse, keep it all in my head) kills my soul. Toss it your toughest back-to-school chaos and let me know how it goes 🔥

    Todoist Tip #3 I truly love how customisable Todoist is, but I can also imagine new users might miss some of our many, many custom settings. For example, did you know you can customise your Quick Add feature in your account settings? I personally prefer a minimalist Quick Add box, so I only enable a few actions, and best of all, I can even decide what order the actions are listed in! Once you've customised your Quick Add feature, you can scroll down to a preview of what it'll look like in action, before you save your settings 🎉
